CruiseDoc Configuration
Features
 There are a number of things you will want to do to customize CruiseDoc to your needs. First on the list is passwords. Each user of the CruiseDoc system must have a password in order to log on. Once logged on all documents which the user creates are permanently flagged with their name.

The very first user (the person who installs CruiseDoc) is automatically accorded supervisor status. This means they have access to parts of the system that regular users do not. Therefore the person most likely to be responsible for the care and maintenance of the CruiseDoc system should be present during installation so that they can create their password and become supervisor. Other users can be added at installation time or you can wait until later. New members of the medical team will need to be added as they appear. Any new member can be added as either a supervisor or as a regular user.

The procedure is simple:

  1. A current user starts CruiseDoc and logs in.
  2. Click on MAINTENANCE|USERS and a window appears.
  3. Enter the new user's name and title in the appropriate fields.
  4. The new user should choose a password - something easy to remember but hard to guess - and enter it in the password field and again in the confirmation field.
  5. Click OK to finish.

CruiseDoc comes with a pharmacy database of about 150 commonly used drugs. You will undoubtedly want to add the medications that your cruise line stocks in addition to these basic meds. Or perhaps you use different strengths or sizes than those in the database and you want to edit them. In either case the procedure is similar:
  1. Log in to CruiseDoc
  2. Click MAINTENANCE|PHARMACY and the pharmacy table will appear.
  3. The medications are arranged in alphabetical order by generic name. You can scroll down through the list until you find the one you want and then edit the fields by just clicking the mouse cursor in them and then typing what you want.
  4. To add a new medication click the ADD button and a new blank line will appear. Just fill in the fields by typing in them.
  5. Click the CLOSE button when you are done and CruiseDoc will save all your changes into the database.
Maintenance of the medical supplies database is almost identical to that of the pharmacy database. Just click MAINTENANCE|SUPPLIES and then follow the same procedures as above.
Of course every cruise line has its own fee schedule, so you will need to edit this table before you begin full operations. CruiseDoc comes with a very extensive CPT code database, so you won't have to enter the codes or descriptions. But you will have to go through the table and assign appropriate prices. The default prices that appear in the table are based on usual, customary and reasonable fees in the South Florida area circa year 2000. The procedure is similar to the editing of the tables for supplies or meds - click MAINTENANCE|CPT and then edit the table which appears.
You will also want to customize the forms and templates in the system to your own cruise line name and logo. For this you will need the appropriate font (if your cruise line uses a standard typeface for corporate identity) and a bitmap (preferably about 60 x 60 pixels) logo. Copy the font file to the C:\Windows\fonts subdirectory and place the bitmap logo file in a convenient subdirectory somewhere on your hard disk. If you're going to be making your own forms or templates you'll probably want to keep this graphic around for future use and you might want to put it into the \data subdirectory of the CruiseDoc directory. Use the following procedure to customize each form/template that you want to use from the CruiseDoc/Templates subdirectory.
  1. Open MSWord
  2. Open the form/template that you want to customize
  3. Unlock the form/template
  4. Double-click on the logo graphic in the upper left corner and a window will appear.
  5. There will be a field in the window with the filename and path. Next to it is a "browse" button. Click the browse button and navigate to your bitmap logo's subdirectory and select the bitmap logo file.
  6. Click OK. Then click the next OK button and your bitmap logo should appear on the form/template.
  7. Select the default name/address text (Maritime Health Systems ...) and replace it with your own text.
  8. Select the appropriate font from MSWord's font menu.
  9. Lock the form/template.
  10. Save the form/template.

New forms/templates

The easiest way to create a new form or template is to edit an old one. You can choose an existing form/template; edit it; and then just save it with a different name. If you want to start with just a blank form we've provided a "header" form that has just the header information (which must be extracted from the database, so don't change anything in this part) and the rest of the page is blank for you to design as you like.

Hardware

CruiseDoc is not very hardware dependent. IT will run on almost any hardware that will run Windows. But we do have some recommendations for good performance:

Software

There are a couple software requirements: You must be running Windows 98SE or later and you must have Microsoft Word 97 or later. PaperPort 7 is recommended for handling of scanned images. It comes with many HP printer/scanners. MS Access is recommended if you want to look at the database in ways not already programmed in CruiseDoc.
